All About Collections

Organize content into Collections using custom tags.

What are Collections?

Collections help you categorize and manage your user-generated content with custom tags. Whether you're organizing content by product lines, seasonal campaigns, color palettes, content types, geographic locations, brand initiatives, hashtags, or social profiles, Collections give you the flexibility to structure your UGC library exactly how you need it.

Collections can also be used as a filter in Campaigns — in a campaign's Content tab, you can filter content by the Collection it belongs to.


Creating a Collection

  1. Click the Bookmark icon below the asset you want to use to start your new Collection.

  2. Give your new Collection a name in the space provided.

  3. Click on Create: {collection_name}

Creating a Collection automatically creates a Collection view for this UGC tag.


Adding an Individual Asset to a Collection

  1. Click the Bookmark icon below the asset you want to add to your Collection.

  2. Select your Collection from the list.

💡 Tip: Use the search feature to quickly find a specific collection. There is also a "Recent" section to add content to recently used collections faster.


Adding Multiple Assets to Your Collection at the Same Time

  1. Hover over any asset and click the checkbox in the top left corner.

  2. Continue selecting the other assets you want to add.

  3. Click Edit Attributes and choose Set Collections from the action bar at the bottom of your screen.

  4. Select the Collection name where you want your assets to appear.

You can add assets to multiple Collections at once by selecting several from the list.


Removing an Individual Asset from Your Collection

  1. Find the asset you want to remove from the Collection.

  2. Click the Bookmark icon below the asset you want to remove from your Collection.

  3. Select the Collection name from the list.

The asset leaves that Collection but stays in your library.


Removing Multiple Assets from a Collection

  1. Choose the Collection where the asset is added to from the left side bar.

  2. Select all the assets you want to remove from the Collection.

  3. Click Edit Attributes and choose Set Collections from the action bar at the bottom of your screen.

  4. Deselect the Collection you want to remove the assets from.

  5. Refresh your browser.


Changing Your Collection View Name

  1. From the left sidebar, look for the Collection you want to rename.

  2. Click on the three dots beside the Collection name and click Rename View.

  3. Type in your new Collection view name.

  4. Click Save. Your new Collection view name will appear immediately.

Renaming a Collection view doesn't change the underlying UGC tag.


Sharing Your Collection with Someone Else

  1. From the left sidebar, choose the Collection you want to share publicly.

  2. Click on the three dots at the top right corner of the screen and choose Get a Public Link from the list.

  3. Your custom URL will be copied to your clipboard automatically so you can paste it into a browser, email, or text.

Recipients can view the shared Collection even without an Archive account, and can't see anything else in your workspace.


Deleting Your Collection

🚨 Important: Deleting a Collection is permanent and cannot be undone. Once deleted, the Collection cannot be restored — even by Archive Support. Double-check that you have the right Collection selected before confirming, especially if it has been built up over time or shared with teammates.

  1. From the left sidebar, look for the Collection you want to delete.

  2. Click on the three dots beside the Collection name and choose Delete {Collection_Name} from the list.

  3. Confirm the deletion by clicking on the Delete button.

Deleting a Collection doesn't delete the UGC items — they stay in your library and in any other Collections they belong to.


Adding a Collection View to a Group

  1. From the left sidebar, look for the Collection you want to add to a group.

  2. Click on Add to Group and choose the Group name from the list. If you don't have a group or want to create a new one, feel free to do so.

  3. Choose the Group you want the Collection view to be added.


Setting Up Slack Alerts for a Collection View

  1. From the left sidebar, look for the Collection you want to set up Slack Notifications for.

  2. Click on the three dots beside the Collection name and choose Add Slack Alert from the list.
