All About Usage Rights Requests

Archive's Usage Rights feature lets you request content usage rights directly from creators within your Archive dashboard. This simplifies the process of getting permission to repurpose content for your brand marketing campaigns while staying compliant with copyrights.

Note: Requesting usage rights typically grants permission to use on all digital media, unless specified otherwise. You can customize the message to reflect the specific rights you need and move the conversation from there.

However, please note that the feature is designed for tracking purposes and that Archive does not provide legal counsel or guarantees regarding usage rights.

Archive is not responsible for any music rights used by the creator.


Requesting Usage Rights

  1. Find the content you want to repurpose within the app. Once you've identified the content, click "Request Usage Rights".

  2. A dropdown menu will appear with two options:

    • Request Usage Rights - Send a request to the creator via DM

    • Set Status Manually - Set the status yourself (useful when you already have rights from a contract)


Requesting Usage Rights Option

Use this option to send a DM request to the creator asking for permission to use their content.

  1. Click "Request Usage Rights" on any piece of content

  2. Select "Request Usage Rights" from the dropdown

  3. A new window will open allowing you to choose which account to send from and customize your message. Click "Save as Default Message" to use it for future requests.

  4. Once you've personalized your message, click "Send Request". Your request will be sent directly from your brand's Instagram account.

For Instagram requests, creators will see native Approve and Reject buttons directly in their DMs, making it easy for them to respond with a single tap.

Reminders:

  • If you don't see the option to send the DM automatically, even though the story was posted within the last 24 hours, this could be because you connected your Instagram account after the post was published.

  • When sending usage rights manually, please make sure that your brand's IG or TT account is logged in to your browser.

  • Due to Instagram's policies, we can only message the influencer on your behalf if they have sent you a DM in the last 24 hours. Otherwise, your request will be "In Queue," and it will be sent once you send a dm to the creator or the creator sends you a message. You can always skip the queue, but you'll need to go ahead and send the request manually. Go to your Manage Rights page and click on "Send DM Request". If you're sending a request to a creator you haven't talked to within 24 hours, you'll see the "Add to Queue" button instead of the "Send Request" button.


Set Status Manually

Use this option when you already have usage rights through a contract or other agreement and just need to track them in Archive. This lets you update the status without sending a request to the creator.

  1. Click "Request Usage Rights" on any piece of content

  2. Select "Set Status Manually" from the dropdown

  3. Choose the appropriate status and scope

  4. Click Save

You can set any of the following statuses:

  • Approved - You have rights to use this content

  • Requested - A request has been sent to the creator

  • In Queue - Request is waiting to be sent

  • Rejected - Creator declined the request

  • Expired - The usage rights or spark code has expired

For TikTok content with SparkCodes:

  • Paste the SparkCode in the input field

  • Select the duration: 7 days, 30 days, 60 days, or 1 year

This is especially useful when you work with contracted affiliates or creators who have already granted you rights to their content.


Sending Usage Rights Manually

To skip the queue, you can manually send your request.

  1. Navigate to your "Manage Rights" page.

  2. Choose the UGC to which you want to send a request manually.

  3. Click on the "Send DM Request" icon, which will trigger our system to copy the link and message and redirect you to your DMs with the creator.

  4. Once you're on the DMs, you may paste and send the message.

Note:

  • If you want to check whether you sent it manually, just click the link you sent to the creator via DM. You'll be able to see the content there.

  • Compared to automatically sending requests, there won't be any buttons to respond to the usage rights request directly on the DM. The creator needs to click on the link you sent via DM to approve or request the request.


Managing Your Usage Rights Requests

Your Archive dashboard makes it easy to monitor and manage the status of your usage rights requests. Head to your Manage Rights page to see all your requests in one place.

Filtering Your Requests

You can filter your requests by:

  • Social Profiles - Filter by specific creator accounts you've sent requests to

  • Platform - Filter by Instagram, TikTok, or other platforms

  • Status - Filter by Approved, Requested, In Queue, Rejected, or Expired

  • Request Date - Filter by when the request was sent

  • Response Date - Filter by when the creator responded

This makes it much easier to manage large volumes of requests efficiently.


Changing Status

You can change the status of most requests directly from the table by clicking on the status column. This is helpful when:

  • You received approval through another channel (email, contract, etc.)

  • A status needs to be corrected

  • You need to update tracking for reporting purposes

Note: The "Requested" status cannot be changed from the table since the message has already been sent. If you need to correct a request with "Requested" status, you can delete it instead.


Deleting Requests

You can select one or more requests and delete them. Keep in mind that if a DM was already sent, deleting the request from Archive won't unsend the message on Instagram or TikTok.


Understanding Request Statuses

Here's what each status means:

  • Approved - The creator approved your request to use their content

  • Requested - Your request was sent to the creator and is awaiting their response

  • In Queue - Your request is waiting to be sent (usually due to Instagram's 24-hour messaging policy)

  • Rejected - The creator declined your request

  • Expired - The ad code or spark code has expired


Troubleshooting

  • If requests stay "In Queue," you can either send the message manually or wait for the creator's next brand mention to trigger it automatically

  • If you accidentally set the wrong status, you can change it from the Manage Rights page (except for "Requested" status, which requires deleting the request instead)

  • For any issues with status changes or request management, you can now handle most corrections directly in the app without contacting support.
