To successfully connect your Instagram account to Archive, you need to ensure all required permissions and asset links are correctly configured within Meta's business infrastructure. This guide walks you through the complete setup and verification process.


Understanding the Required Asset Structure

Archive's Instagram integration depends on a specific hierarchy within Meta's business tools. Your assets must be organized as follows:

Business Portfolio → Facebook Page → Instagram Account

This structure ensures Archive can properly access your Instagram content and brand mentions. All three components must be correctly linked and owned by the same Business Portfolio.


Step 1: Log In With Your Facebook Personal Account

Begin the connection process by logging in with your personal Facebook account. This personal account must have admin and full control access to:

  • The Facebook Page linked to your Instagram account

  • The Meta Business Portfolio that owns both the Facebook Page and the Instagram account

⚠️ Important: You cannot access Meta's business tools without a personal Facebook account. Business assets are managed through personal accounts with appropriate permissions.


Step 2: Verify Your Asset Connections

Business Portfolio 
└── Facebook Page
└── Instagram Account

Before attempting to connect to Archive, confirm that your assets are properly linked:

  • Verify Instagram-to-Facebook Page Connection - Your Instagram Professional account (Business or Creator) must be connected to a Facebook Page. This connection enables Archive to monitor brand mentions and collect content.

  • Verify Facebook Page-to-Business Portfolio Ownership - The Facebook Page connected to your Instagram account must be owned by a Business Portfolio. Confirm that the Business Portfolio you plan to grant Archive access to is the same one that owns your Facebook Page.

  • Confirm Your Admin Access - You must have full admin access to all three components: the Business Portfolio, the Facebook Page, and the Instagram account. Partial or editor-level access will prevent Archive from functioning correctly.


Step 3: Grant Archive the Correct Permissions

When connecting Instagram to Archive, Meta will prompt you to select which assets Archive can access. During this process:

  • Select the Business Portfolio that owns both your Facebook Page and Instagram account

  • Choose the correct Facebook Page (the one linked to your Instagram account)

  • Grant all requested permissions to ensure full functionality

⚠️ Common Mistake: Selecting a Business Portfolio that doesn't own the correct Facebook Page will cause the connection to fail. Double-check your asset ownership before proceeding.


Step 4: Verifying Your Access Levels

Before connecting to Archive, verify that you have the required permissions across all Meta business tools.

Via Facebook Professional Dashboard

  1. Log in to Facebook and ensure you're viewing as your Page, not your personal profile

  2. Select Professional Dashboard from the left menu

  3. Click Page Access from the same menu

  4. Find your name in the list and click it

  5. Confirm that the pop-up displays "This person has full control"

Via Meta Business Suite

  1. Navigate to Meta Business Suite Settings

  2. If you manage multiple Business Portfolios, select the one linked to your Facebook Page

  3. Under the Accounts section, select Pages

  4. Find your name and verify that Full control: Everything is enabled

  5. Under the Accounts section, select Instagram Accounts

  6. Choose your Instagram account and confirm your name appears with Full control: Everything

  7. Under the Users section, select People

  8. Verify your name shows Full control: Everything under Business Portfolio Access


Troubleshooting Connection Issues

If Archive fails to connect to your Instagram account, the issue typically involves one of the following:

  • Missing Full Access: You don't have admin or full control permissions for the Business Portfolio, Facebook Page, or Instagram account. Review your access levels in Meta Business Suite.

  • Incorrect Asset Selection: You selected the wrong Business Portfolio during setup, or the Portfolio you chose doesn't own the Facebook Page linked to your Instagram account.

  • Instagram Not Linked to Facebook Page: Your Instagram Professional account isn't connected to any Facebook Page. Connect your Instagram account to a Page before attempting to connect to Archive.

  • Facebook Page Not Owned by Business Portfolio: Your Facebook Page exists but isn't owned by a Business Portfolio, or it's owned by a different Portfolio than the one you selected during setup.

  • Account Type Issues: Your Instagram account is set to a personal account rather than a Professional (Business or Creator) account. Switch to a Professional account type before connecting.


Pre-Connection Checklist

Before attempting to connect Instagram to Archive, ensure you meet all these requirements:

  • ✅ You have a personal Facebook account

  • ✅ That account has full admin access to the relevant Facebook Page

  • ✅ That account has full admin access to the Business Portfolio

  • ✅ Your Instagram account is set to Professional (Business or Creator)

  • ✅ Your Instagram account is linked to a Facebook Page

  • ✅ That Facebook Page is owned by a Business Portfolio

  • ✅ All three assets (Instagram account, Facebook Page, Business Portfolio) are part of the same ownership structure
